Please read these key terms before booking. By completing your booking and making payment, you agree to these terms and the full GRS Band Camp Booking Terms and Conditions available here. The full terms will also be included with your booking confirmation.
BOOKING AND ELIGIBILITY
GRS Band Camp is provided by Guildford Rock School Ltd (“GRS”). A place is confirmed only when the booking form has been completed, full payment received and a booking confirmation issued.
The camp is for children aged 7–14 and is suitable for young musicians with some previous playing experience; no grades are needed. The booking is for the complete three-day camp and cannot be divided into individual days.
We will consider each child’s main instrument and experience when arranging bands and parts. However, we cannot guarantee a particular band, song, role, teacher or exclusive use of one instrument.
FEES
The standard price is £165. The early-bird price is £150 for bookings completed and paid for by 11.59pm on Sunday 13 September 2026.
Optional merchandise, delivery charges and other add-ons are separate from the camp fee and subject to availability.
CANCELLATIONS BY PARENTS
Cancellations must be emailed to contact@guildfordrockschool.com.
• By 21 September 2026: full refund
• 22 September–6 October 2026: 50% refund
• From 7 October 2026: normally no refund
These amounts reflect the staffing, venue and preparation costs committed in advance for a capacity-limited event. If we are able to resell the cancelled place, we will review the amount retained and provide any further refund due, less costs already incurred and an administration charge of up to £10.
With our written agreement, a booking may be transferred to another eligible child up to seven days before camp, provided all required booking and emergency information is supplied.
As this is a leisure service taking place on specific dates, the usual 14-day cooling-off period for online purchases does not normally apply to the camp booking.
ILLNESS AND ABSENCE
Children must not attend if they are unwell, have symptoms of an infectious illness or have been advised not to attend by a medical professional or public-health guidance.
Refunds or credits are not normally provided for illness, non-attendance, late arrival, early collection or missed camp time for reasons outside GRS’s control. Exceptional circumstances may be considered at our discretion.
CANCELLATION OR CHANGES BY GRS
GRS may make reasonable changes to staffing, teachers, rooms, repertoire, groupings or activities where necessary to run the camp safely and effectively.
If GRS cancels the whole camp, parents may choose a full refund of the camp fee or an available transfer or credit. If a complete day is cancelled and no reasonable alternative can be provided, an appropriate partial refund or credit will be offered.
GRS is not responsible for travel, accommodation, lost earnings or other associated costs.
MEDICAL AND ADDITIONAL NEEDS
Parents must provide complete and accurate information about medical conditions, allergies, medication, disabilities, additional needs, learning or communication needs, and behavioural considerations that may affect participation, supervision or safety. GRS must be told promptly if anything changes.
We aim to provide an inclusive camp and will consider reasonable adjustments. Please discuss any significant support requirement with us before booking. The camp cannot provide individual one-to-one care or specialist medical support unless expressly agreed in writing.
Medication must be clearly labelled, supplied in its original packaging and accompanied by written instructions and consent. Emergency medication must be readily available, and staff must be informed at sign-in.
ARRIVAL AND COLLECTION
Children are supervised by GRS during the published camp hours once signed in and while within the designated camp areas.
Children must be signed in and collected promptly by a parent, guardian or another adult authorised in the booking information. Children may not leave independently unless agreed with GRS in writing beforehand.
Parents must provide an emergency contact who can be reached throughout camp hours and arrange prompt collection if required.
FOOD AND ALLERGIES
Parents are responsible for providing any requested food and drink and ensuring it is suitable for their child. All allergies, intolerances and dietary risks must be disclosed before camp.
Children must not share food. GRS cannot guarantee an allergen-free environment but will take reasonable precautions based on the information supplied.
BEHAVIOUR AND SAFETY
Children must treat others respectfully, follow staff instructions, use equipment safely and avoid persistently disrupting other campers.
Serious unsafe behaviour, bullying, abusive or discriminatory behaviour, deliberate damage, leaving designated areas or repeated disruption may result in a parent being asked to collect the child. Where reasonable support has not resolved the concern, GRS may exclude the child from some or all of the remaining camp. No refund is normally due in these circumstances.
Parents may be charged the reasonable cost of repairing deliberate damage or damage caused by a serious failure to follow safety instructions.
SAFEGUARDING AND EMERGENCIES
The camp will operate in accordance with the GRS Safeguarding Policy. Staff working directly with children will hold appropriate DBS checks.
In an emergency, GRS may provide basic first aid, contact emergency services and take reasonable steps to protect the child’s welfare. Safeguarding information may be shared with appropriate authorities where necessary.
PHOTOGRAPHY AND VIDEO
GRS intends to film the final performance and share a private video with participating families. The booking form will ask separately for permission for each child to appear in this recording.
Families receiving the video must not publish or distribute footage containing other children without permission from the relevant parents or guardians.
Separate optional consent will be requested for any use of a child’s image, audio or video on the GRS website, social media or other public marketing. Refusing marketing consent will not affect the child’s booking or participation.
PERSONAL INFORMATION
GRS will use the information supplied to administer the camp, communicate with parents, take payment and protect children’s welfare. Information may be shared with relevant GRS staff, emergency services or safeguarding authorities where necessary.
Personal information will be handled in accordance with UK data-protection law and the GRS Privacy Policy.
ACCEPTANCE
By completing the booking and making payment, you confirm that:
• you have parental responsibility, or authority to make the booking;
• the information and consents supplied are complete and accurate; and
• you have read and accepted these key terms and the full GRS Band Camp Booking Terms and Conditions.
